Multi-User Access
If you have several users on a network who needs to access the database and share information, you can quickly and easily setup Instant Invoice 2007 for this. Multi-User access allows more than one user to update and share information in the Instant Invoice 2007 database. More than one user can simultaneously update customer, products, invoices and quotes, view reports and more.
Instant Invoice 2007 uses Windows Workgroup or File sharing for multi-user access.
First you must ensure that you have a 3 user or higher version of Instant Invoice n CashBook 2007 for multi-user access. Click on Help | About and note your License Type. If you have the Single User license, you need to upgrade to the 3 User version or higher. You can do this via the internet at : http://www.ezysoft-dev.com
When you create your new database, you need to ensure that you specify a location on a Shared folder or Network Drive for your database location. If you have already created the database, then you must Share Out the database folder or move the database folder to any shared folder that other users on the network can access . The exact Sharing procedure may vary for different versions of Windows. Generally, you need to :
1. Open MS Windows Explorer. Locate the folder where you installed the database.
2. In Windows Explorer, right-click the database folder or the Ezy-Data folder and select Sharing. You then need to enable sharing and ensure that it is "Full" access and NOT ReadOnly access. The database folder should now be available to other users on the network. On the other computers, click Network Places to confirm that you can browse and see this folder that you just shared out.
3. For certain version of windows (like NT, Windows 2000 and XP Pro) you need to ensure that all users needing access have full access to this Shared folder.
4. Install Instant Invoice 2007 on the other computers that need access to the database.
5. Now on the other computer, launch Instant Invoice 2007. If asked whether you want to create a NEW database, click No . Instead click on the Open button to open an existing database. When Instant Invoice 2007 displays the Select Database To Open dialog, click the Browse button. Locate the shared folder in your Network Places and click OK .
6. Repeat the step 4 & 5 above for the other computers needing access to the database.
You can now safely work in multi-user mode. When 2 users click on add new Invoice, the first user will get the first Invoice number while the second user will get the next invoice number. Whenever you need to get the latest information of what other users have updated, click the 
button located on the various forms. If two or more users happend to update the same customer/ product record or invoice/ quote at the same time, only the first user to save the changes will be accepted. The 2nd user will receive an error "Record has been changed by another user ..." when they try to save and they will need to abandon or cancel their changes.
