About Recurring Invoices
Recurring invoices are invoices that are issued to customers at regular intervals according to a specified billing cycle. It is usefull for example if you provide rental services, on-going services or subcriptions services. Say you rent equipment on a long term basis and you need to invoice your customers every month for rental charges. Instant Invoice 2007 makes this task much easier for you to manage in that it can keep track of all recurring invoices for you. When an invoice is due for generatation, it can remind you about it. If you send your invoices via email, you can also insert Paypal links such that your customers can pay you with a credit card over a secure internet connection for your invoices.
You manage recurring invoices by first creating a recurring invoice template. This template is different from your regular invoices in that it is merely a template for an actual invoice. It is not included in your invoice sales listing and not included in your outstanding invoice listing either. You cannot apply customer payments to it. It will only look like a regular invoice in that it will contain information like who the invoice is made out to (Your customer) and it will contain all body text or content explaining the nature of the invoice. In addition to this, you can specify additional information like your billing cycle (at what interval you want the invoice to be issued and on what day or date).
You can also insert a Billing Period field in your recurring invoice template so your customers would know which period they are being billed for in the current invoice.
1a. To create a blank new recurring invoice template click the Invoice
button to go to the invoicing module. Then click the drop down menu from the [New] button and select New Blank Recurring Invoice as shown below :
1b. To create a recurring invoice template from an existing invoice or quotation , first select the document. Then click the drop down menu from the [New] button and select New Recurring Invoice Template From Selected Document as shown below :
3. This will bring up the Billing Cycle & Billing Period box
4. Complete the invoice as you would a normal invoice. Note that you can have Instant Invoice automatically calculate and insert the billing period in the invoice body.
